Requirements:

In order to win new work via the OJEU procurement process, STG’s approach has always been to bid for most of the contracts that fall within their geographic area. This has meant completing hundreds of PQQs in a relatively short time frame but winning very few. Completing so many PQQs without any real recording system was proving difficult, therefore STG contacted Propeller to discuss ways of improving their submissions which included the easy storage and retrieval of their responses, collaborative working and the overall presentation of their final documents.

Solution:

One of the first things Propeller advised STG was to become more selective in the type of work they wanted to bid for. This would mean, going through each OJEU notice and identifying if the company was capable of undertaking the contract and also satisfying the mandatory requirements.

Upon meeting this criteria STG now use EasyPQQ to manage each bid so that all their information is stored centrally and worked on by all members of the bid team in a collaborative manner.

By using a select number of templates branded with their company details, STG have also made their documents stand out from their competitors.

Outcome:

Using EasyPQQ has provided STG a complete and real time picture of their progress by monitoring each bid using the software’s inbuilt status levels. STG are particularly impressed with the options to assign questions to different members of the bid team which allows them to be more efficient in completing and managing the process, hence concentrate on the quality of the responses rather than the quantity of bids.

Propeller has recently added further value to STG’s submissions by providing bid writing and review services on select bids, which has resulted in the award of a number of multi million pound framework contracts.
